Fall Event & Trade Show Printing Checklist: What to Order and When

Fall is trade show and community event season — chamber mixers, vendor fairs, harvest festivals, back-to-school nights, fundraising events. If your business has a booth, a table, or a presence at any of them this fall, the printed materials you bring make the difference between blending into the row of tables and actually being remembered.

Here’s what to have on your checklist, and when to order it so you’re not scrambling the week before.

The Booth Basics

Pull-up banners. The single highest-impact item for any booth. A well-designed pull-up banner gives people something to see from across the room before they ever walk up to your table — it’s doing marketing work before you say a word. Standard and premium options are available depending on how often you’ll be reusing it.

Table covers. A branded table cover instantly makes a folding table look like a real booth instead of a card table someone dragged out of a garage. Available for both 6-foot and 8-foot tables.

Signs. Coroplast or aluminum signs work well for directional signage, parking, or outdoor event marking — anywhere people need to find you before they get to your booth.

What Goes on the Table

Flyers. Something people can take with them and actually look at later, whether that’s pricing, a service list, or an offer. Gloss makes photos and colors pop from a table; matte reads a little more upscale for professional services.

Postcards. A postcard with a clear offer and your contact info is easier for someone to hang onto than a full flyer — it fits in a pocket or a badge holder without getting crumpled.

Business cards. Obvious, but worth checking your stock before every event. Running out at your own booth is one of the more avoidable ways to lose a lead.

The Give-and-Keep Layer

Promotional products. This is where you turn a five-second conversation into something that sits on someone’s desk for months afterward. A booth with a giveaway on the table gets more people stopping by than a booth with just a stack of cards. When to Order

As a general rule: order two to three weeks before your event, especially for anything custom — banners, table covers, and larger print runs of flyers or postcards. That gives enough room for proofing, any revisions, and standard production time without paying rush fees.

If you’re working with a tighter window, reach out anyway — we handle rush orders regularly, but the earlier we know, the more options you have on turnaround and price.
